Careers: Executive/Personal Assistant to the Managing Partner

Executive / Personal Assistant to the Managing Partner

The Role

We are seeking a highly sophisticated, emotionally intelligent, and proactive Executive/Personal Assistant to directly support our Managing Partner.
This is not a traditional, passive administrative role. You will act as the Managing Partner’s strategic gatekeeper, operational anchor, and frontline representative to high-level stakeholders, international investors, and regulatory bodies. If you thrive in a fast-paced environment where priorities shift quickly, possess flawless judgment, and take pride in keeping a busy leader organized, this role is for you.

Key Responsibilities

Calendar & Inbox Triage: Proactively manage the Managing Partner’s diary, balancing high-stakes client meetings, international time zones, and internal dependencies. Filter and prioritize incoming emails, drafting responses on the Partner’s behalf where appropriate.
Stakeholder Liaison: Serve as a polished, professional point of contact for high-net-worth clients, corporate leaders, and partners. Handle sensitive inquiries with the utmost discretion and diplomacy.
Meeting & Briefing Preparation: Ensure the Managing Partner is fully prepared for all engagements by compiling briefing notes, organizing legal/tax files, and tracking agendas. Take concise minutes and drive accountability on follow-up actions.
Special Projects & Event Support: Assist in coordinating high-profile initiatives, including client roundtables, international travel logistics, and firm events
Office Operations Coordination: Liaise with the internal legal, accounting, and administrative teams to ensure seamless cross-departmental communication and that client deliverables remain on track.

Profile & Qualifications

Experience: 3–5+ years of experience as an Executive Assistant, Personal Assistant, or Legal/Operations Coordinator. Experience within a law firm, “Big 4” accounting firm, private wealth management, or corporate advisory environment is highly preferred.
Discretion: Absolute integrity and experience handling highly confidential corporate, legal, and financial data.
Communication: Exceptional command of written and spoken English, with the ability to articulate complex matters clearly and professionally.
Tech-Savviness: Highly proficient in modern workplace tools (Microsoft 365, Zoom, scheduling software, and CRM/task management platforms).
The “Agility” Factor: A resilient, solution-oriented mindset. You anticipate bottlenecks before they happen, remain calm under pressure, and can swiftly pivot when schedules change

What We Offer

  • A competitive compensation package reflective of your experience.
  • The opportunity to work closely with senior leadership and gain exposure to high-level international business, tax, and legal operations.
  • A dynamic, collaborative, and professional working environment in Nairobi.
